Saturday Practice Administrator for a Private Psychology Clinic in Balham

Fernwood Clinic is an independent practice in Balham, South London. We were set up in January 2016 with a mission to bring authentic, expert psychology services into our community so that people can lead more fulfilling lives. We are a friendly team of nine Chartered Clinical and Counselling Psychologists, providing assessment, short term and long term treatment for adults, children, families and couples. We operate from recently renovated High Street premises in a vibrant neighbourhood of central Balham. Vast majority of our clients are local professionals, families and young people.

We are currently looking for:
  • Permanent Practice Administrator to work with us on Saturdays 10am-5pm
    There will also be an opportunity for approximately 5 full time weeks per year of holiday cover
You will be supporting our clients and therapists to deliver excellent private outpatient mental health care. You will be the first point of contact for new clients, taking them through the customer journey from assessment and therapy to discharge.

The key responsibilities include but not limited to:
  • Answering telephone and email queries from new clients and referrers. Advising on available services, conditions treated and types of therapies offered. Arranging appointments and supporting clients throughout their therapy journeys.
    Responding to requests from existing clients in a timely manner.
    Managing practitioners’ diaries using our online practice management software.
    Administering initial assessment questionnaires and intake forms
    Advising clients who would like to use private medical insurance. Submitting invoices to insurance companies.
    Processing accurate payments for self-funding clients.
    Maintaining database with confidential client treatment information, including outcome measures.
    Scanning session notes and managing client records in a confidential manner
    Supporting psychologists to arrange external written / telephone communication with GPs and other referrers. Ensuring all GP letters are sent promptly.
    Preparing management reports as required.
    Supporting social media and marketing initiatives.
    Keeping the practice reception area and therapy rooms neat and tidy at all times.
    Helping to organise social events for the practice team. Participate in all aspects of clinic life.
Core skills required:
  • Academic background in Psychology (A-level or degree) is preferred, but not essential.
    Pleasant and calm manner. Ability to establish and maintain a supportive client relationship quickly, in the context of confidentiality, and be comfortable with others’ emotional distress.
    Excellent verbal and written communication skills.
    High level of efficiency, organisation and attention to detail at all times.
    Ability to work with high expectations of clients in a private healthcare setting.
    Ability to learn new software systems quickly and general willingness to work with technology. Google Docs skills are desirable.
    High level of self motivation and ability to work in a quiet environment with minimal supervision.
    Ability to learn and comply with the regulatory and external obligations, including ICO and insurance company requirements.
Full training for this role will be provided, as well as ongoing support if required.

This is a permanent role. The salary is £11 / hour (£21,450 full time equivalent), plus paid holidays.
