Clinic Receptionist, 5.45 hours a day, 5 days a week London SW18

Starting Salary: £17,000 to £23,000 (Depending on experience. Training provided as needed.) 5.6 weeks pro rata paid annual leave.

Pension paid. Discretionary performance related bonus at end of year 1. Paid in year 2. Ongoing mentoring.

 Job Type: A ‘Full Time Permanent’ position with future prospects and promotion. 5.45 hours a day, 5 days a week with some early morning starts and some early evening finishes.

A covering letter and CV should be emailed in the first instance. Guide to Duties and ResponsibilitiesYou will be responsible for the performance and workings of the entire reception with main responsibilities being:
  • Opening and closing the business at the beginning or end of the day. Setting up furniture and signage at these times
  • To manage the flow of patients arriving at the practice, for appointments or queries. 
  • Greet patients on arrival, so an enthusiastic customer-care focused attitude is a must.
  • Make appointments over the telephone, at the reception desk and on the computer system.
  • To deal with the incoming and outgoing mail.
  • Ensure bookings, messages, emails etc. administrative tasks are completed professionally, promptly and accurately, with communication to all relevant parties where applicable.
  • Invoicing using our practice management software.
  • Collecting outstanding invoice amounts.
  • Liaising with health insurance companies
  • Adhere to all processes in place when collecting payments, ensuring financial accountability of the reception transactions.
  • Respond to enquiries or issues following the practice’s guidelines. Ensure that the Terms and Conditions are followed.
  • Maintaining an efficient rota within the clinical diary.
  • Managing stock levels of all products and consumables on display.
  • Update IT tasks and practice performance on our software as the day and week, month and quarter progress.
  • Scanning documents and filing
  • Maintaining high levels of cleanliness and hygiene in the clinic and simple machine maintenance.
  • Respond to enquiries about and provide details of the services provided in the clinic.
  • Cover shifts when an admin staff member is away.
  • Not to mention other day to day tasks in the daily running of an office
  • You should be content that we will be performing DBS and background checks

  • The initial training provided is intense, so the applicant would need to be able to hit the ground running as soon as they join us.
  • Independence and initiative are integral to the role, as there will be a requirement for some lone working and to be conscious of what’s happening throughout the clinic you are working in on a day-to-day basis.
  • Communication skills are essential, with fluent English, both written and spoken. Being client facing and diplomatic are key skills.
  • Knowledgeable in management systems, office software and common web applications to complete general administrative duties
  • Ability to work in a team, but complete work diligently without supervision.
  • Patience, caring and well mannered.
  • IT skills and eagerness to learn al of the ever-evolving IT software that we use. Microsoft and G-suite competence.
